Applicant & Employee Privacy Notice

This notice applies to anyone who applies for a position with J & M Logistics Inc. ("J&M", "we", "us") through our online application, and to J&M employees using the employee portal. It explains what personal information we collect as part of that process, why, who can see it, and how it's protected.
1. What we collect
Depending on your role and the position applied for, this may include:
- Contact and identity information you provide on the application (name, address, phone, email, date of birth).
- Driver's license number and expiration date, for driving positions.
- Documents you or J&M upload to your record — for example a resume, driver's license, MVR (motor vehicle record), background check, drug test result, and training or certification records (CPR, PASS, defensive driving, and similar).
- Training and policy-acknowledgement records, including the electronic signature (typed name) used to submit your application and to acknowledge required training.
- Employment status and related administrative notes kept by HR staff.
2. Why we collect it
We use this information to evaluate your application, verify eligibility to drive or work in the position applied for, maintain required licensing/certification/training records for as long as you're employed, and meet our recordkeeping obligations as an NEMT provider.
3. Who can see it
Access is role-based. Documents you upload are marked either visible to you in the employee portal, or admin-only (for example, a background check or an MVR entered by HR) — an admin-only document is never retrievable through your own portal login, no matter what the document is. Only J&M staff with an administrator account can view applicant and employee records generally, and every access to a document, status change, or note is recorded in an internal audit log. We do not sell applicant or employee personal information, and do not share it outside J&M except where required for the licensing/background-check purpose it was collected for, or where the law requires it.
4. How it's protected
Uploaded documents are stored outside of any public web path and are only ever served through a login-gated download that re-checks who you are and what you're allowed to see on every request — a document is never given a public or guessable URL. Passwords are never stored in plain text. Account access follows the principle of least privilege: your login only exposes your own application/employment record, never anyone else's.
5. Electronic signature
Where this notice or the application/portal asks you to type your full name to sign or acknowledge something (an application, a policy, a completed training), that typed name is recorded together with the date and time as your electronic signature on that specific item. Formal legal language establishing the full effect of that signature is still pending counsel review — see the notice above.
6. Recruiting emails
When you apply, your email may be added to a recruiting mailing list so we can let you know about future openings. Every such email includes an unsubscribe link, and unsubscribing doesn't affect the status of any application you've already submitted. This is separate from the trip-related messages described in our Terms, which don't apply to applicants who aren't also customers.
7. How long we keep it
We retain applicant and employee records for as long as required to meet our licensing, insurance, and employment recordkeeping obligations. Specific retention schedules are still being finalized with counsel.
